Among the responsibilities, answering calls and correspondence, filing, and organizing documents, coordinating with different departments, arranging appointments and schedules, preparing, and processing files, and running errands as needed.
Visit prospects and our clients as well.
Keep up to date and monitor the inventory of office supplies, processing procurement requests when necessary.
Furthermore, an administrative assistant must maintain an active communication line with the Manager for a smooth and efficient workflow.
Tasks -Admin Assistant would perform in their roles:
Manage and develop the daily schedule of routes for team members.
Support Manager:
evaluate proposals, award contracts, and oversee through closeout.
Streamline Manager scheduling by coordinating schedules, meetings, and travel arrangements.
Assist Manager on payroll related load work including commissions.
Assist in setting up the documentation for new contracts.
Assemble information from manager and create a PowerPoint presentation to provide in a meeting information of new contracting process.
Identify need for and develop SharePoint solution to enable trend analysis and tracking for improve performance management and service delivery.
Support sales team to effectively enforce contracts made with customers, contractors, or government agencies.
Prepare contract documents, set up meetings for the manager, communicate with clients and maintain contract files.
Support manager with contracts renewals, constant calls, time and attendance, contracts paperwork, customer service, efficiency.
Support the overall sales' operations strategy.
Monitor daily call count/call performance.
Monitor efficiency of team training and communication Other tasks and responsibilities as required to maintain efficient department operations.
MINIMUM JOB REQUIREMENTS Should possess the following knowledge, skills, and abilities:
Highly organized with the ability to manage multiple tasks and assignments.
Good computer skills:
knowledge of and proficiency in common office applications such as MS Word, Excel, Outlook, and general software navigation, SAP experience, a plus.
Possess a strong personal desire for improvement; and the desire to motivate the sales team to be better tomorrow than they are today! Business Acumen, leading by example, punctual, dependable.
Must be of irrefutable integrity, as they often access sensitive business or legal information, which they should keep confidential.
Clear speaking and writing skills are also important to contract administrative assistants, because their job involves supplying information to contractors.
Should analyze current contract administration procedures and find ways to eliminate bottlenecks.
Must be knowledgeable about acquisition processes, commissions calculations, contract regulations and contract processing.
